Check-in/out Procedures

Check-In Procedures (UG)

The earliest check-in date and time is after 10:00 on the first day of their hall offer period. Any early check-in requests will not be entertained.
 
Residents should check-in directly at the Hall / Management Office of the assigned hall. Check-in time for UG hall residents is as follows:

Jockey Club Hall Monday to Sunday: 8:45 - 19:00 & 19:30 - 22:00


Residents who are unable to check-in within 7 days from the commencement date of the hall offer period are required to inform the Student Housing and Residential Life Office of their late check-in date by writing to your hall office (email list here) and ughousing@ust.hk. Failure to check-in within the aforementioned period without prior notification may result in cancellation of offered hall place.
 

Please follow the following procedures to ensure an efficient check-in process; failure to follow these steps may delay check-in.

I.    Before arriving at the Hall Office 

Complete online check-in registration in advance:

Upon submission of the form, you will receive a confirmation email.
 

II.    When arriving at the Hall office

  1. You must check-in IN PERSON at the Hall/Management Office of the assigned hall. No check-in by a third party is allowed.
  2. Present your Student ID OR the softcopy of the preregistration confirmation email, along with a photo identification document (such as a passport) to the staff at the Hall/Management Office for verification.#
  3. Sign the e-form to check-in and obtain the room card/key. After check-in, a confirmation will be sent to your HKUST email.
  4. Inspect and record the condition of all furniture, equipment, and items in your room/apartment based on the Inventory List (accessible via the link in your check-in confirmation email or the QR code in the room card holder) upon check-in, and report any issues to the Hall Attendants immediately. Residents must complete the condition form WITHIN 7 DAYS of check-in; otherwise, all items will be considered in good condition. You will be held responsible for any damages not recorded during this period.
     

# New students without HKUST Student ID card before program registration may show other personal identification documents (eg. passport) during check-in.

Note: Residents should remove all their belongings and check out of the student hall IN PERSON before 12 noon on their latest check-out date. An email on "Check-out Reminder" will be sent to you before the end of the residence.

 

Important Notes

1. Late Check-out Requests will not be considered

If you fail to vacate your room on your latest check-out date, Hall Attendants will clear all belongings found inside the room without further notice and neither the University nor the Hall Management will be responsible for any loss or damage of personal properties arising from such action. A fixed penalty of HK$100 per person night will be levied on those who fail to check out on time in addition to the hall charges incurred on daily basis. The cut off time is 12 noon.

If you do not sign on the check-out record and/or return the room key/key card upon check-out, you will still be considered as not checked out yet and late check-out penalty applies until you have completed the check-out procedures.

 

2. Check-out Procedures

You are required to return the room key/key card & its holder AND sign on the check-out record IN PERSON at the Hall Office/Management Office of the hall that you are residing in when you check out. Any piece of lost key and key holder will be charged at HK$100 each and HK$10 each respectively.

The earliest check-indate and time is after 14:00 on the first day of their offered residence. Any early check-in requests will not be entertained.

Residents should check-in directly at the Hall / Management Office of the hall assigned at designated locations during the opening hours
 
Residents who are unable to check-in within the period specified by the Student Housing and Residential Life Office (SHRLO) are required to inform SHRLO of their late check-in date by writing to your hall office (email list here) and pghousing@ust.hk. Failure to check-in within the specified period without prior notification will result in cancellation of offered hall place.
