Check-in/out Procedures

Check-In Procedures (UG)

To ensure a smooth check-in process, student should complete the pre-registration and fill in relevant information using the link provided in the room assignment letter prior to arrival at the respective halls. For your arrival at the assigned hall, please follow the instructions below.
 
The earliest date and time that hall residents can check-in is after 10am on the first day of their hall offer period. Any early check-in requests will not be entertained.
 
Residents should check-in directly at the Hall / Management Office of the hall assigned. Check-in time for UG hall residents is as follows:

8:45am-7:00pm & 7:30pm-10:00pm
Jockey Club Hall Monday to Sunday: 8:45am-7:00pm & 7:30pm-10:00pm


Residents who are unable to check-in within 7 days from the commencement date of the hall offer period are required to inform the Student Housing and Residential Life Office of their late check-in date by writing to ughousing@ust.hk. Failure to check-in within the aforementioned period without prior notification may result in cancellation of offered hall place.

Please follow the following procedures to ensure an efficient check-in process; failure to follow these steps may delay check-in.

I.    Before arriving at the Hall Office 

Complete online check-in registration here: https://studenthousing.hkust.edu.hk/page/CheckinRegistration
Upon submission of the form, you will receive a confirmation email.
 

II.    When arriving at the Hall office

  1. You must check-in IN PERSON at the Hall/Management Office of the assigned hall. No check-in by a third party is allowed.
  2. Present the Check-in Information at the Hall/Management Office for verification.
  3. Show the softcopy of the confirmation email and HKUST Student ID Card (or other photo identification such as Passport) to the staff at the Hall/Management Office #
  4. Photo will be taken at the Hall/Management Office.
  5. Obtain a Registration Card, fill in the required information and return to the Hall Attendant(s) immediately.
  6. Obtain Room Key and complete the documents as required.
  7. Obtain a Check-in/Check-out Inventory List.
  8. Check the conditions of all the furniture, equipment and items listed on the Inventory List. Report any damage(s) to our Hall Attendants immediately. You will be held responsible for any damage(s) found subsequently if you fail to report it to our Hall Attendants during check-in.
     

# New students without HKUST Student ID card before program registration may show other personal identification documents (eg. passport) during check-in.

Note: Residents should remove all their belongings and check out of the student hall IN PERSON before 12 noon on their latest check-out date. An email on "Check-out Reminder" will be sent to you before the end of the residence.

 

Important Notes

1. Late Check-out Requests will not be considered

If you fail to vacate your room on your latest check-out date, Hall Attendants will clear all belongings found inside the room without further notice and neither the University nor the Hall Management will be responsible for any loss or damage of personal properties arising from such action. A fixed penalty of HK$100 per person night will be levied on those who fail to check out on time in addition to the hall charges incurred on daily basis. The cut off time is 12 noon.

If you do not sign on the check-out record and/or return the room key/key card upon check-out, you will still be considered as not checked out yet and late check-out penalty applies until you have completed the check-out procedures.

 

2. Check-out Procedures

You are required to return the room key/key card & its holder AND sign on the check-out record IN PERSON at the Hall Office/Management Office of the hall that you are residing in when you check out. Any piece of lost key and key holder will be charged at HK$100 each and HK$10 each respectively.

Check-In Procedures (PG)

Once you have secured housing, it's time to check-in - very exciting! To ensure a smooth check-in process, please follow the instructions below.
 
The earliest date and time that residents can check-in is after 2pm on the first day of their offered residence. Any early check-in requests will not be entertained.

Residents should check-in directly at the Hall / Management Office of the hall assigned at designated locations during the opening hours. Details are provided below. 
 
Residents who are unable to check-in within the period specified by the Student Housing and Residential Life Office (SHRLO) are required to inform SHRLO of their late check-in date by writing to pghousing@ust.hk. Failure to check-in within the specified period without prior notification will result in cancellation of offered hall place.

Please follow the following procedures to ensure an efficient check-in process in your assigned hall; failure to follow these steps may delay your check-in. 

 

University Apartments/ GGT / SKCC Hall

A. Complete Resident Registration Online before Arrival
Complete online undertaking form and registration form before arrival to the Hall/ Management Office.
Receive a confirmation email for check-in after completion of form

B. Check-in IN PERSON at Hall/ Management Office
It is a must to check-in IN PERSON at the Hall/ Management Office of the assigned hall. No authorized check-in is allowed.
Present HKUST Student ID card to the Hall Attendants. #
Show a softcopy of the confirmation letter to the staff for verification
Take a photo at the Hall/ Management Office
Obtain your room key by signing on check-in form

C. After collecting the room keys
Receive the online Check-in Inventory List link via your HKUST email. Check the conditions of all the furniture, equipment and items listed in the Inventory List. You will be held responsible for any damage found later on if you fail to report it during check-in.
